Quatro Public Relations is a Political engagement, Strategic Communications and Community Consultation company. Our work is to promote the interests, ambitions and ideas of our clients primarily across the regeneration and development sectors.

This Privacy Statement describes how we collect, use and share information and how this information can be shared orally/in writing or electronically.

COLLECTING PERSONAL INFORMATION

Quatro Public Relations has a legitimate interest to process personal data relating to decision makers, budget holders, residents and community groups affected by projects and other interest groups from the property development and regeneration community.

The collection and use of data from a number of sources is essential to our company's ability to provide services to our clients.

Quatro Public Relations collect data that identifies you or could reasonably be used to identify you as an individual, which we refer to here as Personal Data. The personal data that we may collect from members of the public may include: Name, Address (including Postcode), Phone, Email. For professionals as part of a client team or company we are providing a service to, this includes company contact details, such as name, job title, postal address, telephone numbers email addresses, and financial and transaction data, such as credit or debit card numbers used in relation to our services.

We will only use information that we collect about you lawfully in accordance with GDPR.

The personal data we collect may be from data shared by third parties – including but not limited to: local authorities, public sector bodies, trade unions, LEPs, Higher Education institutions - for the legitimate interest of raising awareness about developments in the relevant area of interest. Data will be gathered from publicly available sources such as local authority websites, the Parliamentary website, corporate websites, corporate social media, related business platforms, e-newsletter respondents and the press.

Quatro Public Relations take the requirements of GDPR seriously and will ensure that our statement is kept up to date. We will issue the Privacy Statement to each person when making contact with you. The Privacy Statement will also be included in the signature of each email sent by employees of Quatro Public Relations.

Quatro Public Relations may also collect information from data provided by you as an attendee or participant attending any event organised by Quatro Public Relations, either on behalf of a client or for us directly.

Quatro Public Relations will collect personal data received directly from data subjects via email, telephone call, letter or by business card at networking events, conferences or from third parties acting on behalf of the individuals.

 

HOW WE USE PERSONAL DATA

We use personal data to:

Compile a database of business to business contacts to be used by Quatro Public Relations for business to business marketing on behalf of Quatro Public Relations and its clients.

Send you marketing communications via the post and via electronic means such as e-newsletters and email correspondence.

Conduct market research with you.

Respond to your enquiries and provide information to relevant stakeholder groups and individuals.

Process orders, and to issue your invoices by post or emails and to collect payments and to make payments to suppliers where applicable.

In instances where payment is made by debit/credit cards, your details may be collected by third party service providers such as credit/debit card companies/or agents acting on their behalf in order to authenticate the payment.

DATA DISCLOSURE

The data we gather about you will never be sold on to a third party.

In certain circumstances, we may need to disclose your data to the appropriate third parties (such as a client or local authority) if required to do so by law or an authorised government body. This would be in limited and exceptional circumstances.

On occasion it may be necessary for Quatro Public Relations to transfer a limited set of data to a third country to access an online service such as Mailchimp. Quatro Public Relations will always ensure personal data is transferred only where there are appropriate safeguards, enforceable data subject rights and legal remedies to conflict.

 

MARKETING

Quatro Public Relations regularly issue information about policy development, political events, news and thought leadership ideas to the business community and other interested parties which may be of interest to you. Quatro Public Relations will update individual residents and stakeholder groups identified in connection with specific schemes as required by a client, or previous agreement with said parties.

SECURITY

Quatro Public Relations takes the security of your data very seriously. All employees are trained on our technology and security policies, rules and measures designed to protect the personal data under our control, both on or off-line from unauthorised access, improper use, alteration, unlawful or accidental destruction and accidental loss.

Any data which is stored off-line, is restricted to our offices. Only employees of Quatro Public Relations are granted access to such information. We will take all possible procedures to ensure that any data transmitted over the internet is secure, but we are limited with our ability to guarantee total security.

There are exceptions where, for the purpose of distributing invitations to public events, we are required to submit a list of address to our third party mailing house. Whenever this occurs the third party mailing house is covered by a signed contract between Quatro Public Relations and the mailing house for non-disclosure.

 

ACCESS TO YOUR INFORMATION AND CORRECTION

Under GDPR you have the right to request a copy of the information that Quatro Public Relations hold about you. There is a standard timescale of one calendar month for us to provide you with the information needed, although depending on the type of enquiry we may need an extension.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

If an employee leaves a role with a company we regularly contact, their name and contact details are deleted from the database. However, the information may still be used for suppression purposes i.e. to ensure that it cannot be added to the database again.

 

COMPLAINTS

Individuals have the right to complain to the Information Commissioner if they believe there is a problem with the way their data is being used.
